The job of office coordinator is a challenging position, which requires creativity, organization, an open mind and welcoming attitude.
Because the coordinator is generally the first person visitors meet, it is important that s/he understand and subscribe to the spirit and values which form the organisation. These include a genuine desire to be of service and a respect for confidentiality.
The specific duties of the Office Coordinator include the following: |

- Reception: Handling visitors as well as phone calls; initial information – taking from potential EIC children
- Correspondence: Day-to-day notes and letters, both in Hindi and English, to parents, doctors, donors, etc; maintaining a dispatch register
- Files: Maintaining children’s records
- Accounts: Although the centre does have an accountant, the coordinator is expected to maintain a daily cash book, take fees, issue receipts and handle petty cash; preparing a monthly budget
- Purchasing: Ensuring that supplies (stationery, cleaning items, sugar, tea, etc) are kept in stock
- Maintenance of the premises: Ensuring that rooms remain clean, tidy and in good repair. This includes a regular “inspection tour” of trouble areas like bathrooms, cupboards, sink, etc.
- Personnel: Dealing with leave requests and salary advances (forward to LRF office), attendance registers, staff welfare
- Scheduling: Setting up appointments for assessments and conferences with therapists and special educators
- Dealing with Parents: Taking fees, informing parents of school events and holidays, on-the-spot counseling, etc.
- Attending monthly Admin meeting at LRF Resource Centre.
- Communication: Regular updates to LRF office; submitting Core Group agenda items by Friday afternoon; downloading e-mails everyday
- Organizing Events : Plan and execute the functions and events in KV School and to see that they are planned and executed in a proper manner.
